Privacy Statement

This privacy statement explains which personal data PromptIQ BV processes through isocline.nl, why we process it, and how long we keep it. We process as little data as possible, and what you provide to us stays within the European Economic Area.

1. The personal data we process

1. When you email us (intake@isocline.nl or info@isocline.nl): your name, your email address and the content of your message, including whatever you tell us about your organisation or workload.
2. When you book an intake call through our booking page: your name, your email address, your organisation, your time zone, the time slot you select, and the answers you provide on the booking form.
3. When you visit the website, our web server records technical data in log files: your IP address, the time of your visit, the page requested and your browser type. This happens automatically on every visit to any website, and is necessary to operate and secure the site.
4. We do not collect telephone numbers, address details or payment details, and we do not track your behaviour across pages or websites.

2. Purposes and legal bases

1. Answering your enquiry and scheduling an intake call. Basis: performance of a contract, or taking steps at your request prior to entering into one (Article 6(1)(b) GDPR).
2. Performing an agreement if you become a customer, including the associated correspondence. Basis: performance of the contract.
3. Securing and operating the website, for which we use the log files under 1.3 — to investigate faults and detect misuse. Basis: our legitimate interest in a functioning and secure website (Article 6(1)(f) GDPR).
4. Meeting legal obligations, such as statutory tax retention. Basis: a legal obligation.

We do not use your data for profiling, automated decision-making, or marketing on behalf of third parties.

3. Processors and international transfers

1. We do not sell your data and do not share it with third parties, other than the processors below acting on our instructions, or where a legal obligation requires us to.

3. We have concluded a data processing agreement with each of them, binding them to the same standard of security and confidentiality as ourselves.
4. The data you provide to us stays within the European Economic Area. Our processors process that data within the EEA. In its data processing agreement, our hosting provider reserves the right to process outside the EU in exceptional cases where this is necessary for the service — for example when registering a domain name, which runs through the international organisation ICANN — and only where the legal conditions for doing so are met. This does not concern the data you provide to us by email or through the booking form.

4. Cookies

1. isocline.nl places no tracking, marketing or analytics cookies, and we use no analytics software. That is why this site shows no cookie notice.
2. The log files described under 1.3 are not cookies: they are recorded on our server and are not stored on your device.

5. How long we retain data

1. Correspondence and bookings that do not lead to a customer relationship: 12 months after the last contact, after which we delete them.
2. Customer data: for the duration of the agreement. Data subject to statutory tax retention is kept for seven years.
3. Web server log files: 3 days. We have configured this retention period with our hosting provider; after that the log files are deleted automatically.

6. How we secure your data

1. We take appropriate technical and organisational measures to prevent misuse, loss, unauthorised access and unwanted disclosure.
2. isocline.nl is reachable only over a secure connection (TLS). Access to your data is limited to those who need it for their work.
3. If you believe your data is not properly secured, or if there are indications of misuse, please contact us at info@isocline.nl.

7. Your rights

1. You have the right to access your personal data and to have it rectified or erased. You also have the right to object to processing, the right to restriction of processing, and the right to data portability.
2. Requests can be sent to info@isocline.nl. We will respond as quickly as possible and in any event within one month.
3. To confirm that a request comes from you, we may ask for additional identification.
4. Where we process data on the basis of your consent, you may withdraw that consent at any time.

8. Contact and right to complain

2. If you have a complaint about how we handle your data, we would prefer to hear it from you first. You also always have the right to lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens), via autoriteitpersoonsgegevens.nl.

9. Changes

1. We may amend this privacy statement. The current version is always published on isocline.nl, with the date shown at the top.
2. In the event of substantial changes, we will inform the people whose data we process at that time.

In case of any discrepancy between the Dutch and English texts, the Dutch version prevails.
